A client writes: “We need a sales report so management can see problematic products. Ideally by the end of the month.” Those two sentences do not define “problematic,” name a data source or say what will count as done. Calling them a complete specification invites the team to build different solutions.
AI can help unpack the request. It should not turn its own guesses into agreed requirements.
1. Gather permitted context
Use the message, meeting notes and approved documents you are allowed to process. Remove unnecessary personal data and secrets. In a team workspace, check who may access each source. Do not fill gaps with invented details merely to make the brief look complete.
2. Request three lists before a polished brief

Produce three sections: (1) explicit requirements with a quote and source; (2) assumptions that have not been agreed; (3) questions for the client. Then draft a table with outcome, acceptance criterion, source, owner and deadline. If an owner or deadline was not stated, write “not specified.” Do not promise features or choose a solution for the client.
Check that every explicit requirement really follows from its source. AI can overgeneralize a sentence or confuse document versions.
3. Turn a wish into a test
“See problematic products” needs clarification: by which measure, over what period, for which roles, and with what update frequency? An acceptance criterion can be written after the client answers. For example: “A manager selects a period and sees products whose confirmed metric X falls below the agreed threshold Y.” Until X and Y are approved, this is an example of the format, not an agreed requirement.
4. Return a short decision record
Send the objective, confirmed requirements, open questions, acceptance criteria and decision owners to the client. After they respond, version the document and record who approved what.
