Too early to automate? Choose a workflow worth repeating

A small workflow becomes safer to repeat when its inputs, source rules, exceptions and human reviewer are explicit.

A recurring request becomes a sourced workflow with a human reviewer

“Automate customer replies” is a goal, not yet a workflow. One customer wants an order update, another requests special terms, and a third disputes an invoice. Automating the undefined process can multiply mistakes. Start with one narrow, recurring task whose inputs, governing source, exceptions and reviewer you can name.

Find the repeatable part

Collect 10–20 real requests over a week, removing personal data. Sort them into requests answered by a current policy, requests missing information, exceptions and decisions that require a person. Frequency alone is not enough: consider the cost of a wrong answer and whether an approved source exists.

A sensible first pilot prepares a draft or a missing-information checklist. Automatically promising a deadline or discount without an approved rule is a poor starting point.

Define the working contract

Write five lines for one request type:

  1. Input: required fields and documents, including what happens when one is absent.
  2. Source: current rule, owner and access scope.
  3. Output: draft format and evidence the reviewer should see.
  4. Exception: conditions that stop the flow and route it to a specialist.
  5. Review: who approves the result and how corrections feed the next iteration.

For “where is my statement?”, an appropriate output might be a review card with the agreement number, period, located document, discrepancy and question for the owner. Missing agreement number? Ask for it; do not guess.

Test drafts before expanding

Use Yasnora AI to structure permitted, de-identified examples and draft the cards. Check each against its original source. Files, Knowledge and workspaces depend on account limits and permissions. Availability of Work and Automations depends on plan and deployment; organization-level yBiz scenarios remain a closed pilot. A draft is not a message sent to a customer.

If two versions of a policy disagree, resolve the conflict first. Our source-checking method explains how to verify the current version and supporting passage. During the pilot, measure correct drafts, stops and human review time. Do not claim savings before you have measured your own process.

Start with one request type and one accountable reviewer. Yasnora can organize permitted material; your team owns the decision, access and delivery. Explore Yasnora and the Wicsora ecosystem. Русская версия.
